If you know me or have been following me here on the blog or on social media for any length of time, you know that I am OBSESSED with Trello!!
It’s by far the best project management application I’ve ever used.
I tell everyone and their mama that they need to be using it for life, for business, for everything.
In fact, you know that saying, there’s an app for that?
That’s pretty much how I am with Trello.
Basically, if it needs to be planned, organized, managed, or kept track of in any way, shape, or form, Trello is where it’s at!!

5 REASONS YOUR BUSINESS NEEDS TRELLO
I’ll be honest, before Trello, I thought I had a handle on everything.
But I was wrong, so very wrong.
Trello is an amazing FREE tool that helps me organize, plan, and keep track of all the moving parts of my business. It’s literally my right hand when it comes to business, content, project, and task management. And today, I’m sharing how I use it, what I used before it, why it’s a million times better, and ultimately, why your business needs it, too!!

FOR ORGANIZING ALL THE THINGS
I’m a pen and paper girl. Always have been and probably always will be. But let’s be honest, trying to go back and find something you wrote on a specific day, at a specific time, or on a specific topic is like looking for a needle in a haystack.
And yet, that is exactly what I did the entire time I had my wedding blog (a little over 6 years). I CRINGE when I think about the time I WASTED searching for things in notebooks or in piles of paper and post-its on my desk. 🤦🏼♀️
Once I discovered Trello, I was able to create boards, lists, and cards for all sorts of business-related stuff. I actually have an #AllThingsBusiness Board where I organize and keep track of things like client testimonials, monthly goals, online courses I’ve purchased, notes from webinars I’ve taken, links I want to refer back to, inspirational emails I want to read again, my monthly prep + plan + duty day checklists, and much more!!
I also have an entire board dedicated to content ideas and planning. I have it broken down by blog category (of which I have 6) and a list just for newsletter-specific content. Keeping track of blog post ideas and creating my editorial calendar is a complete and total breeze now thanks to Trello!!
FOR MANAGING ALL THE THINGS
With Trello, you can organize and manage pretty much anything. I have boards that help me manage:
- my ideas,
- my clients,
- my tasks and projects,
- my opt-ins and freebies,
- my courses,
- and even my Instagram + Instagram Story posting strategy!!
Sometimes I like to keep a whole bunch of different things together (like on the #AllThingsBusiness Board) and other times I like to pull out specific pieces of my business and give them their own board so they’re easier to organize and manage.
For example, now that I’m creating more opt-ins, content upgrades, and freebies, I realized that’s a lot of details to keep track of… So I created a new Trello board to be able to brainstorm, outline, and keep everything straight.
I also decided (just a couple of weeks ago) that I wanted to change up my Instagram strategy. As I began jotting down thoughts and ideas, I realized I needed to be able to SEE all the broad categories and the general post ideas I’d created for each one. So I mapped it all out in a Trello board and then installed the Calendar Power-up so that I could schedule it all out. I’m pretty stinking happy with the way it turned out!!

FOR PLANNING ALL THE THINGS
I love using Trello to plan out everything from my work week to one-off projects. I used to use a lot of printer paper and notebooks to brainstorm and plan things out—still do sometimes because putting pen to paper really helps when you’ve got a bunch of things to figure out—but there is NOTHING like organizing and seeing a plan of action in a Trello board.
Every Sunday, I sit down with my Weekly Planning Board and make individual cards for every task that must get done that week. Then, I move each card to a day of the week until I have 3 must-do tasks per day (science says that’s about all we can realistically handle). Seeing everything mapped out in Trello this way helps me know what I need to be focusing on instead of wasting time wondering what I should be working on.
I also love using Trello to organize and plan one-off projects. I created a Project Planning Trello Board Template that helps me organize and keep track of all the project things, plus keeps me focused and sane!! I first used this board to create and launch my website, now it’s the pièce de résistance for ALL of my business projects (some life projects, too)!!
FOR KEEPING TRACK OF PROCESSES AND WORKFLOWS
Trello is a GREAT place to keep track of processes and workflows!! Both my blogging and newsletter workflows live in cards on my Content Ideas Board. Each card has a checklist that includes each step of the process and I follow it every single time I write a blog post or newsletter for my list. It ensures that I don’t leave out or forget anything (like making sure all links work correctly and open in a new page).
I also have a board for my Personal Productivity Planning Client Workflow. The board itself is the workflow where the lists are the steps and the cards are the clients. I move the cards (aka clients) from list to list as each step of the process is completed. I love being able to see (at a glance) where each client is at and what needs to happen next.
AND because you can use Trello with a team, everyone can have access to workflows and processes—which means everything will get done the same way by everyone!! (Remember: Consistency in business is KEY!!)
